I have some emails in Outlook which I want to remove from my Inbox without deleting.

In Gmail, there's a single dedicated button for archiving messages:

In Outlook, Microsoft's official instructions for manually archiving messages are:

  1. Open the File tab.
  2. Click Cleanup Tools.
  3. Click Archive.
  4. Click the Archive this folder and all subfolders option, and then click the folder that you want to archive.
  5. Under Archive items older than, enter a date.
  6. If you do not want to use the default file or location, under Archive file, click Browse to specify a new file or location.
  7. Select the Include items with “Do not AutoArchive” checked check box to include any items that might be individually marked to be excluded from automatic archiving.

Additionally, Microsoft describes Outlook's archive feature as "An efficient way to reduce the size of your Outlook Data File or Exchange mailbox". This leads me to believe that Outlook's archive option isn't equivalent to Gmail's archive button.

My current workaround has been to create a new folder titled "Archive", then drag and drop messages I want to archive. However, this still isn't as convenient as Gmail's dedicated archive button

Is there a more convenient way to replicate Gmail's archive behavior in Outlook 2013?

This may be old, but I think I have figured out a solution to this. Gmail effectively removes the inbox tag from an email when you click archive. However, the email remains in the Gmail/All Mail folder. This isn't available by default in Outlook. However, it can be added manually.

Add All Mail folder


  1. Right-click on the account in the folder pane and click 'IMAP Folders...'
  2. Click 'Query, then select '[Gmail]/All Mail' and click 'Subscribe'. Click OK to close the dialogue.
  3. Next, in the folder pane, right-click on [Gmail] and click 'New Folder'
  4. Name this folder 'All Mail' with no deviations.
  5. Right-click on the newly created 'All Mail' folder and click on 'Process Marked Headers'. The mail from this folder should sync.

Change Archive folder to All Mail


  1. Click File, Info, Tools, Set Archive Folder.
  2. Select the 'All Mail' folder under [Gmail] and click OK.

If your goal is simply to move the emails out of the inbox to a different folder you can set up a quick step to perform the action for you.

In the Home ribbon, under the Quick Steps section you can set up a quick step that will move items to a different folder (and mark them as read if you wish).

Ryan's answer works with some modifications

Add All Mail folder


  1. Expand the folders under your account in the folder pane
  2. Right-click any folder and click 'IMAP Folders...'
  3. Click 'Query'
  4. Find '[Gmail]/All mail' (remember the exact name and upper/lowercase and spelling if other than English. In Swedish its 'Alla mail' Image of Swedish query)
  5. Select your '[Gmail]/All mail' and click 'Subscribe'. Click OK to close the dialogue.
  6. Next, in the folder pane, right-click on [Gmail] and click 'New Folder'
  7. Name this folder exactly the same as in step 4
  8. Right-click on the newly created 'All mail' folder and click on 'Process Marked Headers'. The mail from this folder should sync.

Change Archive folder to All Mail


  1. Click File, Info, Tools, Set Archive Folder.
  2. Select your 'All mail' folder under [Gmail] and click OK.

Just moving it to a different Outlook folder will mess up the Gmail native archive function if you also use the Gmail web login or mobile app as it would create a second archive used only by Outlook. With Ryan's method you still have the original functionality no matter of how you archive
